Data confidentiality

As a bookkeeping firm we see sensitive financial information: bank and card transactions, payroll, customer and vendor details and financial statements. These are the commitments we make to every client.

  • Purpose limits. We use client information only to deliver the agreed services. We do not sell it, use it for advertising or use it for any purpose unrelated to your work.
  • No sharing between clients. One client's information is never shown, reused or discussed with another client.
  • Need-to-know access. Only the two founders of Dynamix Accounting work on client books. We do not pass client work or client information to outside parties without your written agreement.
  • Your software, your control. We work inside your accounting software using a separate user login that you invite and can remove at any time. We do not ask for your personal password.
  • Minimum necessary data. We ask only for the records the work requires.
  • Confidentiality agreement. We will sign a mutual confidentiality agreement on request before you share any records.
  • Prompt notice. If we learn that your information has been accessed or disclosed without authorization, we will tell you promptly and explain what happened and what we are doing about it.
  • End of engagement. When we stop working together, we remove our access to your software. Any records we hold are returned or deleted as agreed in writing, unless the law requires us to keep them.

What we ask of you

  • Do not email passwords, full card numbers or bank login details. Invite us through your accounting software instead.
  • Review who has access to your books from time to time and remove users you no longer need.
  • Tell us right away if you think any account or login has been compromised.

What we cannot promise

No system is perfectly secure. Your accounting software, email provider and bank each have their own security that we do not control. We commit to handling your information carefully and to telling you promptly if something goes wrong, but we cannot guarantee that no incident will ever occur.

Information you give us on this website

Information you give us on this website

If you use the contact form or email us, we receive what you choose to share: your name, email address, business name, industry, the service you are interested in, your current software and your message. The contact form does not send data to a server. It opens your own email app with a message addressed to us, and nothing is sent until you send it.

How we use it

  • To reply to your enquiry and discuss whether we are a good fit.
  • To prepare a quote or scope of work for you.
  • To keep a record of our correspondence with you.

We do not sell your information and we do not use it for advertising.

Client accounting information

When you become a client, we access your accounting records inside your own accounting software, using access you grant. We use that information only to deliver the agreed services. You control the access and can remove it at any time. Please do not send bank passwords, full card numbers or other sensitive credentials by email.

Who else can see information

  • Our email provider. Email you send us is handled by Microsoft's Outlook service.
  • Fonts. This website loads its typeface from Google Fonts, so your browser connects to Google's servers when a page loads and your IP address is visible to them.
  • Legal requirements. We may disclose information if the law requires it.

Cookies and analytics

This website does not set tracking cookies and does not use analytics at the time of writing. If that changes, we will update this page.

How long we keep information

We keep enquiry emails for as long as they are useful for the conversation and for our records. Client records are kept for the length of the engagement and as agreed in writing with the client.

Your choices

You can ask us to tell you what we hold about you, to correct it or to delete it by emailing info@dynamixaccounting.com. We reply within one business day.

Changes to this policy

If we change this policy, we will post the new version on this page with a new date.
